WhatsApp Business App vs WhatsApp Business Platform: Which Do You Need?

WhatsApp is the default way many South Africans contact a business, so it is worth getting the setup right. The confusion is that there are two different products with similar names: the WhatsApp Business app you install on a phone, and the WhatsApp Business Platform, formerly called the API, which connects to software.
They suit different stages of a business, and choosing the wrong one is the most common WhatsApp mistake we see.
The WhatsApp Business app
This is the free app you download on a phone. It adds business features to ordinary WhatsApp: a business profile, quick replies, labels, a greeting message and an away message.
It suits a very small business where one or two people answer messages by hand. Its limits are that it is tied to a phone, it supports only a small number of linked devices, and it cannot connect to an AI agent, a CRM or a booking system in any serious way.
The WhatsApp Business Platform
The Platform connects a business number to software. That is what makes an automated agent possible: messages arrive in a system that can read them, answer from your knowledge base, book into a calendar and log the conversation.
It is set up through Meta, usually with a provider, with a verified business profile. It costs more to run and takes more to set up, and it is the right choice once volume, automation or multiple team members make the phone-based app a bottleneck.
The 24-hour window and message templates
When a customer messages you, a window opens in which you can reply freely. Outside it, on the Platform, you can only send pre-approved message templates. Those rules exist to keep the channel free of spam, and breaking them can get a number restricted.
This matters for campaigns. A follow-up sent a week after a conversation, or a reactivation message to an old lead, has to use an approved template, and the messaging has to comply with both WhatsApp’s rules and South African privacy law.

A note on migrating a number
A number moved onto the Platform generally cannot then be used in the ordinary WhatsApp app on a phone. Many businesses prefer to use a dedicated business number for the Platform and leave the personal one alone.

Different numbers can use different products, but a single number is generally on one or the other. Plan which number goes where before migrating.
Is WhatsApp Business free?
The app is free to download and use. The Platform involves costs, and Meta’s pricing model changes from time to time, so check the current pricing with your provider.
Can an AI agent use the free app?
Not properly. Connecting an agent to WhatsApp generally requires the Platform.
